The Atlantic Salmon Federation (ASF) is an international conservation organization founded in 1948 to conserve and restore wild Atlantic salmon and their ecosystems. Overview
As the Special Events Manager, you’ll be a key member of ASF’s Development team, leading the planning and execution of ASF’s fundraising events, auctions and donor engagements. The Special Events Manager collaborates closely with Regional Directors on events in their areas, the Finance Department for accurate event reporting, and Development team colleagues to achieve fundraising goals. The ideal candidate will have experience managing events or conferences for 100+ attendees and will be flexible, ambitious and can make quick decisions under pressure.
Responsibilities and Duties
In this role, your responsibilities may include but are not limited to:
- Manage event-related information and files, including registration, auction donors and items, sponsors, vendors, venues, committee members, and key stakeholders.
- Oversee event budget; tracking expenses and revenues and balancing for yearly financial audits.
- Manage event-related communication, including reservations, vendor relations, and committee interactions by phone, email, and virtual meetings. Finance department support to ensure accurate recording and receipting of all gifts.
- Keep Accurate records of guest and donor information, and update as needed in ASF’s CRM (Raiser’s Edge)
- Coordinating thanks and acknowledgement for guests, donors, committee members and volunteers.
- Create mailing lists and oversee the design, printing and mailing of save-the-dates and invitations.
- Assist in researching, entering, and maintaining accurate information in CRM
- Shipping and mailing of materials for events in different cities, including auction items and necessary office supplies.
- Invoicing and following up on account receivable. Maintaining accurate records of pledges and gifts received.
- Work with ASF’s Communications department to advertise and celebrate ASF events on our social platforms and in the Atlantic Salmon Journal.
- Facilitate regular meetings with event planning committees. Create meeting agendas and keep minutes. Provide regular updates and direction to committee members.
- Solicit auction donations, sponsorships and ticket sales.
- Track the procurement and sales of auction items; ensure all items arrive at the venue and winning bidders retrieve their items or ship them in a timely manner.
- Work closely with auction donors to ensure accurate listings
- Analyze event outcomes and collaborate with the VP of Development and committees for ongoing success.

- Proactive and organized approach – Ability to organize workload and establish priorities; anticipate hurdles and adjust as needed. Attention to detail.
- Action oriented and calm under pressure – You thrive in fast-paced environments, especially during high-profile events. You can maintain focus, stay calm, and adapt quickly, even when managing multiple priorities in a hectic setting.
Job specific experience and skills that will help you in this role include
- Exceptional written and verbal communication skills
- Strong skills in Microsoft Office Suite
- Experience with CRM’s
- Knowledge of Canadian and US charity rules regarding donations a strong asset
- Adobe Acrobat
- Familiarity with online collaboration and cloud computing tools (Zoom, Teams, Office 365, Acrobat)
- Comfort processing payments and administering payment platforms such as Stripe
Education and Experience: The above would normally be acquired through the completion of a post-secondary program coupled with previous experience in a similar position. We know, however, that competence and skill can come from a diversity of experiences. An equivalent combination of education, background and experience will be considered.
Compensation: Salary Range $48,000 to $65,000. ASF offers a competitive benefits package including RRSP, vacation and sick leave, flexible working location and health coverage.
